Your team is almost certainly already using AI. ChatGPT, Claude and Google’s Gemini have made capable assistants part of everyday work — often before anyone in the business has decided which tool to sanction, or thought about where company data ends up. For any organisation that cares about its data, that raises a fair question: how is Microsoft 365 Copilot actually different, and when is it the better choice?
The honest starting point is that all four are excellent. The right decision usually has less to do with which underlying model is “best” this month, and more to do with two practical questions: where does your data live, and how do your people actually work?
Copilot works inside the tools you already use
The clearest difference is integration. Microsoft 365 Copilot lives inside Word, Excel, Outlook and Teams, so there’s nothing to copy, paste or switch to. It can draft in a document, summarise a Teams meeting or triage an inbox without your team ever leaving the app they’re already in.
It understands your business — securely
Because Copilot is grounded on your own data through Microsoft Graph, it can reference your emails, files, chats and SharePoint content to give answers that are genuinely about your business rather than generic. Crucially, that data stays within your Microsoft 365 tenant and its UK/EU compliance boundary, and your prompts and files are never used to train the public AI models. Copilot also inherits the security you already run — Microsoft Purview sensitivity labels, Entra access controls and Defender all still apply — so it only ever surfaces what a given employee is allowed to see.
The real risk is unmanaged AI
For most businesses the bigger day-to-day risk isn’t Copilot — it’s staff quietly pasting sensitive company information into personal, consumer AI accounts. The most effective fix is to give people a secure, sanctioned option. Copilot Chat is included free with most Microsoft 365 plans and carries commercial data protection, making it an easy first step away from “shadow AI”.
Where the others still shine
This isn’t a case of one tool winning outright. ChatGPT, Claude and Gemini are outstanding general-purpose assistants — strong at open-ended research, long-form reasoning, writing and coding — and their business and enterprise tiers come with their own data-protection commitments and admin controls. Plenty of organisations sensibly use Copilot for in-workflow, data-grounded tasks and a general-purpose assistant alongside it for wider work.
Get the foundations right first
